Hiring a drone pilot: what to check before you book

CAA registration and competency

In the UK, anyone operating a drone with a camera generally needs an Operator ID from the Civil Aviation Authority, and the person flying needs a Flyer ID. Commercial work in more demanding situations, such as near people or buildings in towns, calls for higher qualifications or a specific Operational Authorisation. Ask the pilot which they hold and what it allows them to do.

Insurance

Drones are aircraft, and a normal business policy does not usually cover them. Ask for a certificate showing public liability cover for drone operations. Venues, councils and main contractors will often ask for this before allowing a flight, so a professional pilot will have it ready to send.

Airspace and permissions

Much of the country is simple to fly in, but areas near airports, heliports and some city centres sit in controlled airspace. Flying there needs permission in advance. A good pilot checks the location as soon as you send the address and tells you honestly if the shot you want is possible.

Permission from the landowner is also needed for take-off and landing. On private land the client usually arranges this; on public land the pilot should know who to ask.

Risk assessment and planning

For events and construction sites, expect the pilot to share this with the organiser or site manager. If a pilot is vague about planning, that is a warning sign.

Portfolio and deliverables

Flying well and editing well are different skills. Look for examples that match your brief: property exteriors, venue reveals, construction progress sets or event footage. Agree up front what you will receive, how many edited stills or what length of video, which formats, and when. That avoids disappointment and makes quotes comparable.

Red flags to watch for

Be cautious if a pilot cannot name their CAA qualification, will not send an insurance certificate, or promises to fly anywhere without checking the location first. The same applies to anyone who suggests flying over crowds or roads without mentioning permissions. These shortcuts can ground a shoot on the day, or leave the client exposed if something goes wrong.

Equally, watch for vague quotes with no list of deliverables. A professional pilot will tell you what is included, what could change the price and what happens if bad weather forces a new date. Clear answers to those questions are usually the best sign that the rest of the job will be handled properly too.
